Procurement Specialist

Summary of Position

The Procurement Specialist will be responsible for placing all orders weekly, reviewing purchase orders, confirming correct vendor information and applying all payments to orders that are sent. Manage vendor returns and credits and work with the Purchasing Manager and Design teams to ensure correct placement of all orders. This requires excellent vendor management and client relation skills, as well as the ability to work dynamically in fast moving situations with numerous, invaluable pieces being moved across the globe, timing them for installations for multi-million-dollar projects. Be willing to jump in on a variety of tasks as needed and have excellent follow through.

Confidence, politeness and calmness are required in equal measure, with experience of working with tight deadlines, and the ability to work independently as well as within a team and take direction.

DEPARTMENT: Purchasing Department

PRINCIPAL RELATIONSHIPS:

  • Reports to: Purchasing Manager
  • Collaborates with: Accounting, Hospitality and Residential Design Studios
  • Supervises: none

PRINCIPAL ACCOUNTABILITIES/ESSENTIAL FUNCTIONS:

  • Review Purchase Orders and all Balances Due Orders from vendors, submitted on a weekly basis. Create matrix weekly to be submitted to accounting for payment.
  • Follow up on all payments sent to vendors to confirm all orders have been received and generated.
  • Update each Purchase Order in studio noting payment date and any necessary corresponding information.
  • Manage receipt and return of items for client meetings. Work with design teams to ensure all items are received in time and returned in a timely manner.
  • Generate Care Maintenance Guides for each residential project.
  • Handle a number of organizational and support tasks for the purchasing department as it relates to client orders.

Qualifications

  • Proficient with technology, especially databases and word processing
  • Experience with MS products, purchasing/product tracking software such as Studio Webware a plus
  • At least 2 years of professional experience, preferably in professional services

FF&E RESIDENTIAL DESIGN ASSISTANT

The FF&E Design Assistant contributes to the success of NICOLEHOLLIS, Inc. by assisting in general office and design duties, drafting, sourcing, coordinating, filing library and images. The ideal candidate will have 2-3 years of experience in residential interior design, focusing on high-end residential design.

RESPONSIBILITIES AND ESSENTIAL JOB FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:

The primary role of Design Assistant is to assist the designers during the design process by gathering required design materials for projects including:

  • Fabric samples, lead time, pricing
  • Furniture options, lead time, pricing
  • Paint and finish options, preliminary color schemes
  • Sketches for custom furniture, pillows, accessories
  • Compose mood boards, gather relevant images 
  • Draft elevations, floor plans and render presentation drawings

Organize and maintain design library:

  • Set up meetings with vendors and present new materials to project team
  • Research building materials, furnishings and finishes
  • Maintain the fabric library, return samples to design center
  • Collect relevant images from magazines and books
  • Research new products and materials

Prepare for client meetings and other responsibilities as needed:

  • Gather and pack necessary materials and organize the meeting agenda
  • Write and revise specifications for furnishings
  • Create budgets, schedules and specifications
  • Type meeting notes, create project binders

SKILLS:

  • Degree in Interior Design 
  • Minimum of 2 years interior design experience
  • Excellent presentation skills, including space planning and drawing
  • Proficiency in AutoCAD, AutoCAD LT 
  • Ability to read a set of construction documents and section details
  • Ability to create and manage Excel spreadsheets
  • Proficiency in Adobe Illustrator, InDesign and Photoshop
  • Knowledge of and/or ability to learn timekeeping and billing software
  • Experience selecting and specifying lighting, furnishings, hardware, floor/window coverings, materials, and finishes

IA RESIDENTIAL PROJECT DESIGNER

The ideal candidate will have 4-6 years of experience in the architecture and design industry, focusing on high-end residential design.

RESPONSIBILITIES AND ESSENTIAL JOB FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:

  • Research and analysis of the client's goals and requirements; development of documents, drawings and diagrams that outline those needs. Ability to interact effectively with the design team on multiple projects
  • Formulate preliminary space plans and two- and three-dimensional design concept studies and sketches that integrate the client's needs and are based on knowledge of the principles of interior design and theories of human behavior
  • Oversee the implementation of interior design solutions for each project from concept stage through installation
  • Confirm that preliminary space plans and design concepts are safe, functional, aesthetically appropriate, and meet all public health, safety and welfare requirements
  • Select colors, materials and finishes to appropriately convey the design concept, functional, life-cycle performance, environmental, and safety requirement
  • Manage the interior design resource library and maintain vendor contacts for interior furnishings, fixtures and finishes
  • Prepare specifications and schedules with accurate product information for all millwork, casework, appliances, plumbing, hardware and bath accessories
  • Prepare construction documents, consisting of plans, elevations, details and specifications, to illustrate non-structural and/or non-seismic partition layouts; power and communications locations; reflected ceiling plans and lighting designs; materials and finishes; and furniture layouts. Ability to field measure and document building condition
  • Preparation of construction documents to adhere to regional building and fire codes, municipal codes, and any other jurisdictional statutes, regulations and guidelines applicable to the interior space
  • Coordination and collaboration with other design professionals who may be retained to provide consulting services, including but not limited to architects; structural, mechanical and electrical engineers, and various specialty consultants
  • Observation and reporting on the implementation of projects and punch list items while in progress and upon completion, as a representative of and on behalf of the client
  • Prepare presentation decks including mood imagery and 2D and 3D renderings

SKILLS

  • Degree in Interior Architecture or Interior Design  
  • Minimum of 4 years interior architecture design experience

HOSPITALITY DESIGN ASSISTANT

The Hospitality Design Assistant contributes to the success of Nicole Hollis, Inc. by assisting in general office and design duties, drafting, sourcing, coordinating, filing library and images. The ideal candidate will have 2-3 years of experience in hospitality interior design, focusing on high-end hospitality design.

DESIGN RESPONSIBILITIES:

  • Under the direction of the Senior Designer, is responsible for creating designs and producing project documents.
  • Prepare and complete contract documents to meet client program, Company standards, and project budget constraints including:
    • Design presentations
    • Mood boards
    • 3D Models & views
    • Rendered plans, elevations, and views
    • Specifications and drawings
    • Full set of construction drawings
    • Finish, hardware, & plumbing selection and specifications
    • FF&E selection 
    • Custom furniture design and documentation
    • Finish boards and/or boxes
    • FFE binders
  • Responsible for organization of project folder and ensure filing system
  • Order finish and fabric samples and maintain organization of library (as required)
  • As directed by Senior Designer, lead the development and design of entire project areas
  • Assist Interns
  • Observe & communicate trends in the hospitality market
  • Attend vendor presentations and inform team of new and innovative products
  • Pursue individual professional/skill development
  • Contribute to studio development goals
  • Attend and represent the Company at industry events/trade shows as required

QUALIFICATIONS/SKILLS/QUALITIES:

  • Minimum 1 year experience in hospitality design
  • Strong conceptual design approach
  • Architecture or Interior Design degree, accredited 4yr+ program
  • Proficiency in AutoCAD, Adobe Creative Suite, SketchUp, Bluebeam, MS Office, and any other industry standard program
  • Collaborative, self-motivated, positive, and flexible with strong verbal and written communication
  • Proven organizational abilities and attention to detail with the ability to work on multiple projects across various phases
  • Experience in production of construction drawing sets with knowledge of construction detailing, materials, methods, and codes
  • Experience in production of FF&E specification deliverables/implementation and available vendor/fabricators; SPEXX knowledge preferred
  • Must have excellent customer service skills and be comfortable in interfacing with clients, consultants, vendors and internal staff
